IF4 Screening Application – Terms & Conditions
1. Eligibility & Acceptance
By submitting this form, you confirm that you are authorized to request a screening license on behalf of your organization or group. Submission of an application does not guarantee approval. IF4 reserves the right to accept or decline any application at its discretion.
2. License Grant
If approved, IF4 grants a non-exclusive, non-transferable screening license to publicly exhibit the International Fly Fishing Film Festival (IF4) program at your event on the approved date and at the approved location only.
3. Screening Fee & Payment
You agree to pay the applicable screening fee in full prior to receiving screening materials. Fees apply per screening showing unless otherwise specified. All fees are in US dollars (CAD for Canadian screening partners).
4. Use of Materials
All IF4 branding, film content, promotional materials, and intellectual property remain the property of IF4 and its rights holders. Licensees may use IF4-provided materials solely for the promotion and exhibition of the approved screening.
5. Promotion & Marketing
You agree to follow IF4 branding guidelines when promoting your screening, including:
- Using approved logos and taglines
- Linking to official IF4 websites and social channels
- Not implying endorsement, sponsorship, or partnership beyond the approved screening relationship
6. Public Performance Rights
You are responsible for securing all required public performance permissions and local compliance, including venue permissions, local event licenses, and any required music-licensing or performance rights. IF4 is not responsible for third-party performance rights or local licensing compliance.
7. Technical Requirements
You agree to screen in a movie theater. Where that isn’t possible, you agree to provide suitable screening equipment (projector, screen, sound system) that meets minimum technical 4K standards.
8. Cancellation & Refund Policy
Cancellation by Licensee:
Requests must be made in writing. Screening fees are refundable only if cancellation occurs 30 days prior to the scheduled screening. Screening fees are non-refundable once screening materials have been delivered, except in cases where IF4 cancels the screening.
Cancellation by IF4:
IF4 may cancel or reschedule screenings due to rights issues, force majeure, or operational concerns. In such cases, a full refund or credit will be offered.
9. Liability & Indemnification
Licensee agrees to defend, indemnify, and hold IF4, its organizers, sponsors, partners, filmmakers, distributors, and rights holders harmless from any claims, damages, liabilities, or expenses arising from personal injury, property damage, legal or licensing disputes, or misuse of materials related to the screening. This includes associated legal costs and settlement fees.
10. Insurance
Licensee is responsible for maintaining appropriate event and general liability insurance as required for the venue and local regulations. IF4 is not responsible for injuries, losses, or damages occurring at the event.
11. Photographs & Media
IF4 and its partners may capture photos or video at licensed screenings. Such content may be used for festival marketing, social media, sponsor communications, archival purposes, and other promotional materials related to IF4.
12. Event Operations & Ticketing
Licensee is responsible for venue coordination, staffing, volunteers, on-site event execution, and general event operations.
All ticket sales must be processed through IF4’s official online box office platform unless otherwise approved in writing by IF4. Licensee agrees to follow IF4 ticketing procedures, pricing approvals, and reporting processes. IF4 is not responsible for local event expenses or financial outcomes beyond the agreed screening arrangement.
13. Unauthorized Recording & Distribution
Licensee may not record, livestream, broadcast, copy, or otherwise reproduce the IF4 program in whole or in part. No portion of the films may be uploaded to the internet or social media. Licensee agrees to take reasonable steps to prevent audience recording during the screening.
14. Governing Law
This agreement is governed by the laws of the Province of British Columbia, Canada. Any disputes shall be resolved in the appropriate courts of that jurisdiction.
15. Post-Event Reporting & Event Photos
Licensees are required to provide a brief post-event report within 7 days of their screening.
The report must include:
- Estimated total attendance
- Venue name and city
- A short recap of the event
- 2–5 digital photos showing the event atmosphere
IF4 may request clarification or additional information regarding reported attendance figures.
By sharing event photos, the Licensee confirms they have permission to provide the images and that IF4 may use them for marketing, promotional, sponsor reporting, social media, website, archival, and future festival materials without additional approval or compensation.
Submitting this report is part of the screening license requirements. Licensees who do not provide post-event reporting may not be eligible for future IF4 screening licenses.
16. Agreement to Terms
By submitting this application, the applicant confirms they have read, understood, and agree to these Terms & Conditions.
